Data Deletion Request

Welcome to the UCT OHS Data Deletion Request page. We respect your privacy and are committed to providing you with control over your personal data.
Account Deletion Process:
1. Eligibility
Guardians can request to delete their account if they withdraw from or leave the school (e.g., child graduates). The guardian account is used for secure engagement with the school and administrative changes.
2. Initiate Request
To initiate the account deletion process, please fill out the Account Deletion Request Form here. This form will be directed to our IT Service Management Team for processing.
3. Review and Consultation
Our team will review your request, taking into account various factors such as enrolled learners, unpaid fees, and regulatory reporting requirements. Please note that immediate processing may not occur in certain situations.
4. Internal Review Process
For security and compliance reasons, deletion requests will undergo an internal review process with our Data Governance Committee. Stakeholders, including Finance, will be consulted before honouring the request.
Types of Data to be Deleted, Retained and Retention Period
The school collects different types of data from data subjects for a specific and clearly defined purpose. Once the intended purpose is achieved the data is deleted automatically or upon the request of the data subject. It is important to note, however, that the school has a legal obligation to retain certain data for a specific period. The types of data to be retained and deleted is set out hereinbelow.

- Extra-mural records, discipline records

The school retains this information for a minimum period of 5 years after a learner has officially left the school.
